SmartFleet Manager

A fleet operations platform covering vehicle records, maintenance scheduling, work orders, fuel monitoring and the reporting built on top of them.

No screenshots from this project can be published: it handles financial or personal data, so all visuals here are illustrations and contain no real records.

There is no packaged download for this project yet — the link below goes to the source code.

The problem

Fleet operators end up running operations across a spreadsheet per concern: one for vehicles, another for service history, another for fuel cards, and a folder of scanned work orders. Nothing agrees with anything else, maintenance gets missed, and answering a simple question — what did this vehicle actually cost us this year — takes a day of assembly.

The approach

A single platform with one data model behind every screen. Eight related records — vehicles, work orders, fuel transactions, maintenance records, tyres, spare parts, fuel stations and branches — replace the disconnected spreadsheets, and each operational report is derived from the same source rather than rebuilt by hand. It runs as a web application and can be packaged as a desktop application for sites that need it locally.

What is implemented

  • Vehicle records with specifications, registration and status
  • Maintenance scheduling with work orders and per-vehicle service history
  • Fuel transaction monitoring with consumption patterns and cost tracking
  • Report generation covering distance deviations, maintenance history and fleet performance
  • Operational dashboard with fleet status, alerts and key metrics
  • Spare parts and tyre inventory tracking
  • Location and route support through map integration
  • Automated daily backups plus manual backup and recovery
  • Desktop packaging via Electron alongside the web application
  • Automated tests covering fuel monitoring, fuel refunds, the refunds API and vehicle management

Current status and limitations

  • No packaged release: the code is public and the installer scripts are in the repository, but no versioned build has been published for download.
  • Development is paused — the last commit was May 2026.
  • No licence file is published, so the source is not licensed for reuse.
  • It is a substantial application and currently has a single contributor, so there is no support structure or user community behind it.
  • Excel export is handled in-process; behaviour on very large exports has not been validated at scale.
